Manufacturing

Accounts payable that keeps pace with your supply chain.

Materials arrive in pieces, prices move and freight rides on the invoice. Verus matches what you ordered, what actually arrived and what you're being billed, so you pay for what you received and nothing else.

Where AP gets hard in manufacturing

Production depends on a steady flow of materials, and the paperwork that follows is rarely tidy.

Deliveries arrive in pieces

One purchase order can ship across several deliveries. The invoice may land before, between or after them.

Prices drift from the PO

Material and component prices change. A small unit-price difference, multiplied across a production run, adds up.

Freight and surcharges ride on the invoice

Freight, tax and other charges have to land in the right accounts, not in one catch-all line.

Not everything has a PO

Utilities, maintenance, repairs and tooling often arrive without a purchase order but still need control.

The manufacturing workflow

From dock door to approved bill, with the evidence kept together.

  1. Record what arrivedReceiving enters the quantity for each delivery against the PO. Over-deliveries are flagged for review, never silently accepted.
  2. Capture the invoiceUpload the supplier invoice and the fields fill themselves. The original is kept, and duplicates are flagged.
  3. Match to the PO and every receiptVerus checks the invoice against PO pricing and the total received across all deliveries, without counting anything twice.
  4. Resolve exceptionsQuantity not yet received? Price changed? Each exception is spelled out. Overrides need a manager and a written reason.
  5. Approve and enterThe right approver signs off within their limit, then the bill goes to QuickBooks Online or out as a clean CSV.

Handle split deliveries correctly

Verus combines every accepted receipt against a purchase order, so an invoice is matched against what has really been delivered, not just the latest shipment.

If the invoice for the full order arrives after the first delivery, the missing quantity is called out and the invoice waits. Once the rest is received, the same invoice matches cleanly.

Illustrative exampleA PO for 100 units arrives as 60, then 40. An invoice for 100 that arrives after the second delivery is covered by both receipts and goes to approval. The same invoice arriving after only the first delivery is held, with the 40 outstanding units flagged.
Two scenarios compared. When the invoice arrives after both deliveries it is covered by the receipts and ready to approve. When it arrives after one delivery, the quantity not yet received is flagged and the invoice is held.

Spread freight and tax the way your books need

Supplier invoices rarely contain just materials. Verus spreads freight, sales tax and other charges across the invoice lines in proportion to their amounts by default, or leaves them out of any line you choose.

When one invoice covers several accounts, split it across them in a compact grid that stays manageable even with dozens of lines.

  • Suggested accounts from the PO, supplier defaults and history
  • Split one invoice across accounts line by line
  • Freight and tax spread proportionally, or excluded per line

Keep control of spend without a purchase order

Maintenance, utilities and repairs don't need a PO to need a process.

A simple non-PO route

Staff record a business reason, code the invoice to an account and send it for approval in one click.

Limits you set

Set a non-PO limit so larger invoices must have a PO and be matched before they can be approved.

Completed services, received

Record partial or full completion of service lines so you only approve work that was actually done.
